Compliance and tracking

The LivePreso platform has a number of compliance features built in as standard, which are available to all dealer groups, practices and users of LivePreso Advice.
While the content in LivePreso Advice, by design, looks nothing like a typical print/PDF-style advice document, it can still contain everything required to meet exacting compliance standards. Indeed, the platform has been approved by many dealer groups' and independent practices' compliance teams.
In two key ways, LivePreso Advice ensures a higher level of compliance than just about any other approach—certainly a lot higher than the standard Word-Xmerge approach.
1. Centralised version control
Compliance in LivePreso Advice starts with the fact that there is only ever a single approved version of the master document content. There are no files on people’s devices that can fall out of date or be edited to the point of non-compliance. Everyone in your dealer group or practice works from one version of the content: the current, approved version.
Because LivePreso Advice is cloud-connected, it’s very easy for dealer groups and practices to centrally manage the master content, and to ensure it’s published to every user instantly.
That content is managed at 3 levels:

If you are a dealer group or Xplan site admin, you can manage the content for everyone in the group/site using PresoManager. You can edit the default text, disclaimers, images, videos and colour palette, and you can also make your own slides from our suite of templates. You can make updates at any time and publish to everyone instantly.
If you are a practice admin, you can use PresoManager to make your own adjustments and add your own slides that become the defaults for your practice only. You can make updates at any time and publish to everyone instantly.
Did you know?
As a dealer group admin or practice admin you can also create special training/instructional content as internal in-situ notes and/or special slides that only appear in prep mode and automatically turn themselves off when presenting or sharing with clients.
If you are an adviser or paraplanner, you can use prep mode to make your own adjustments and add your own slides to individual documents on a case-by-case basis.
2. Tracking, notifications, analytics and audit trail
While everyone starts with an up-to-date, approved and compliant set of content, that’s only the first half of the story in LivePreso Advice. What happens to each document is just as important: Did the adviser cover everything they should have? Did the clients actually read the document? Did they miss anything important? Were they sufficiently educated during the advice process? And, perhaps most importantly, is there a record of everything that happened in case an auditor comes knocking?
LivePreso tracks everything that happens to your documents, and saves the key activities back to Xplan document notes automatically. Just by using LivePreso Advice, Xplan will have a complete (and easily accessible) audit trail of when:
A new preso is created. Includes a link to the preso in the app.
A preso is handed over, most likely from the paraplanner who created it to the adviser for whom they made it. Includes a link to the preso in the app.
A preso is presented by an adviser. Includes a link to the preso in the app.
A preso is shared by the adviser with their client(s). Includes a non-tracking copy of the share link sent to the client.
A shared preso is viewed by a client. Includes a non-tracking copy of the share link sent to the client.
Notifications
In addition to the activity tracking above, every time a client views a shared preso, the adviser who shared it with them receives an email notification:
The notification shows:
The approximate total viewing time by the client.
The top 6 slides viewed by the client, and the length of time spent viewing each of those slides.
Thumbnails of the other slides viewed by the client (for less time).
Thumbnails of the slides not viewed (for at least 2 seconds) by the client.
The client’s browser details, just in case any debugging is required.
A link that takes the adviser directly back to the preso in the app to view more info.
Note: The time spent viewing stats are generally extremely accurate. Our tracking system can tell when the client’s browser window is not active (for example, if they switch to another tab or app whilst leaving the preso open), and omits non-active time from the stats. However, no tracking system is perfect. It’s not possible for us to know, for example, if the client leaves the preso open in an active window and walks away from their computer (or mobile, tablet, etc).
LivePreso analytics
As well as the share view notifications and the built-in logging to Xplan, all the stats collected about a preso are available on the preso’s appointment screen:
The right-hand side of the appointment screen shows everything that happens to your preso over time:
Starting at the bottom, in this example the preso was created, then shared with the client, and then they viewed it in their own time for under a minute. As above, all this activity is also stored in Xplan, so there’s a complete audit trail for compliance and for your own insights.
You can even view slide-by-slide exactly what was presented and viewed in granular detail by clicking More:
The blue boxes at the top of the appointment screen aggregate all the presenting, sharing and viewing stats so you can see the overall metrics at a glance. In the example below, the preso was presented to 1 client for 33 minutes, shared with 1 client who viewed it on 4 separate occasions for a total of 25 minutes:
